What data does the APP collect?

  • Personal identification information upon completing the membership application form on the APP website: 

    • Name

    • Postal address

    • Mobile phone number

    • Email address

    • Year of birth for adults and children         

      • Where full dates of birth have been recorded in the past, these will be amended to simply record the year.

    • Nationality

  • When membership dues paid, the payment type and date is recorded.

  • Personal details when you register for an event or contact us via the APP website:

    • Name

    • Email address

 

Why is this data collected?

  • The data available on the website is there to facilitate communication between members (by explicit consent only).

  • Other data such as year of birth and nationality is used to maintain the relevancy of the community by adapting to the changing demographics of the members.

 

How do we collect your data?

  • Via the membership form published on the APP website.

  • Via the contact form published on the APP website.

  • When you register online for an event.

  • If you contact one of the APP committee members via email.
     

How is your data used?

The APP collects your data and uses it for the following reasons:

  • Process your membership request, manage your membership and send you annual renewal reminders.

  • Send you the monthly newsletter via email and any other relevant communications.

  • Contact you regarding events that you have registered for, by email or by phone (you may be contacted by the event organizer or other APP member). Your name will also be published on the relevant event page (password protected), as an attendee.

  • If you are hosting an event at your home, your name and address will be published on the Events page.

  • To facilitate communication between members, the following details are published, by explicit consent only, on the Members List, available under the Members Only (password protected) section of the APP website: name, email address, mobile phone number, city and postcode.

  • Insurance purposes – in the event of a claim we may have to prove membership for those who are claiming.

  • Newsletters – personal details may be present in older newsletters stored in the archive (under the password protected area of the site) while newer ones won’t contain personal details other than members’ names. Note: This will be reviewed in the coming months.

 

How do we store your data?

The APP securely stores your data online in a Google Drive folder. The following APP officers have access to it: President, Treasurer, Webmaster and Membership Secretary (post currently vacant).

Your details are also stored on the APP’s web hosting service provider, Wix.com, to which only the named officers above have access. This includes:

  • Upcoming and past event data, which contains guest names and email addresses. Where the event is being held in a member’s home, their name and address will be stored as well. Note: In the coming months, the APP will look into periodically reviewing and deleting this data in order to retain event details without personal information.

  • The personal details provided in the registration/renewal form (see section entitled What data does the APP collect?).

  • Details in the Member’s Area: profile photo (if provided), name, phone number (if provided) and email address.

 

Sharing your personal data

Your personal data will be treated as strictly confidential. Only those with access to the Google Drive folder and to Wix.com (web hosting service provider) will be able to access it. These individuals are the following APP officers: President, Treasurer, Webmaster and Membership Secretary (post currently vacant).

The APP will never share your data with any third parties without your explicit consent. In the event of an insurance claim for an APP event, your details may be provided to the insurance agency though you would be consulted beforehand.

How long do we store your data?

We keep your personal data for no longer than necessary. The APP will keep your personal details for the length of your membership. If you end your Anglophones Pau Pyrénées membership by explicit request or by non-renewal, your personal details will be deleted from all of our records within six months.

Any email correspondence with members and/or site visitors is regularly reviewed and deleted.

As mentioned above, past event data and newsletters are currently kept indefinitely and will be reviewed in the coming months.

You can withdraw your consent for us to use your information, or ask us to amend or delete your details, by emailing president@anglopaupyr.org. Please note that withdrawing your consent for certain items will hinder or limit your ability to be kept up to date about the APP and/or participate in APP activities.

Third party links

The APP website contains links to other websites which may be of interest to users. Our privacy policy applies only to our website, so if you click on a link to another website, you should read their privacy policy. We are not responsible for the content of these websites and have no control over any information you may provide to third parties.

Password access

Where you require a password to access parts of the APP’s website you are responsible for keeping the password safe and secure at all times, you must not share it with anyone else.

Cookies

Cookies are small pieces of data stored on a site visitor's browser. They are typically used to keep track of the settings users have selected and actions they have taken on a site. A cookie does not identify the individual - only the computer used; it does not gives us access to your computer.

Wix.com (the web hosting platform used by the APP site) uses cookies for many important reasons, such as:

  • To provide a great experience for its visitors and members.

  • To identify the registered members.

  • To monitor and analyze the performance, operation and effectiveness of Wix's platform, and to ensure the platform is secure and safe to use.

Can I turn off cookies?

You can change the settings in your browser to refuse cookies; you can also delete cookies using the tools in your browser. However in doing so you may be unable to access certain feature of our website and our websites may not operate correctly in your browser. What are your data protection rights?

The APP would like to make sure you are fully aware of all of your data protection rights. Every user is entitled to the following:

  • The right to access – You have the right to request copies of your personal data.

  • The right to rectification – You have the right to request that the APP correct any information you believe is inaccurate. You also have the right to request that the APP complete the information you believe is incomplete.

  • The right to erasure/to be forgotten – You have the right to request that the APP erase your personal data, under certain conditions.

  • The right to restrict processing – You have the right to request that the APP restrict the processing of your personal data, under certain conditions.

  • The right to object to processing – You have the right to object to the APP’s processing of your personal data, under certain conditions.

  • The right to data portability – You have the right to request that the APP transfer the data that we have collected to another organization, or directly to you, under certain conditions.

 

If you make a request, we have one month to respond to you, the later between our receipt of your written request or our receipt of any further information we may ask you to provide to enable us to comply with your request.
